Karen,
Your absolutly right, you do need to run Windows Updates and Office updates from their respective websites, but those are not to avoid viruses - They remove the core vulnerbilities that allow the viruses to take hold.
XP has an automated update tool, but because of the way it works, you should always consult your network administrator before turning it on in offices...
